How to write an invoice
An invoice is a request for payment that also serves as a record for both sides. It does not have to be complicated, but leaving out one of the pieces below is the usual reason an invoice gets queried, paid late, or rejected by an accountant. The generator above fills in most of this for you.
What to include on an invoice
- The word "Invoice", clearly, so nobody files it as a quote.
- A unique invoice number. Sequential is easiest to defend later.
- Your business name and address, plus how to reach you.
- Your tax number if you are registered for VAT, GST or sales tax.
- The customer's name and address, matching who is actually paying.
- The invoice date and the date the work was done.
- A due date, not just "payable on receipt".
- A line per item with quantity, rate and amount.
- Subtotal, tax and total, shown separately.
- How to pay you, including bank details or a payment link.
Write the line items so they cannot be argued with
"Consulting, $1,200" invites a question. A line that names the work, the quantity and the rate does not. This is the single biggest thing you can do to get paid without a back and forth.

Set payment terms you will actually enforce
Net 30 is the default in a lot of industries, but for a small business it is often too generous. Net 14, or payment on completion for smaller jobs, is normal and reasonable. Whatever you choose, put the actual calendar date on the invoice. "Net 14" makes the customer do arithmetic, and a date they can see is harder to drift past. If you charge late fees, state the rate on the invoice itself, because a fee you never mentioned is difficult to apply afterwards.
Common mistakes
- Reusing an invoice number. Two invoices with the same number is an accounting problem and looks careless. The tool increments for you.
- Billing the wrong legal entity. Invoice the company that agreed the work, not the individual who emailed you, or it may not be payable.
- No due date. "Payable on receipt" is not a date, and it is the easiest thing in the world to ignore.
- Tax handled vaguely. Show the rate and the amount as their own line. If you are not registered, do not add a tax line at all.
- Missing payment details. Surprisingly common, and it stops the payment dead.
Invoice templates for your line of work
The generator is the same whatever you do, but what belongs on the invoice changes with the trade. Here is what to put on yours.
Freelance and creative work
Bill by deliverable or by hour, and say which. Reference the project or purchase order number if the client uses one, because at a larger company an invoice without a PO number can sit unpaid indefinitely. If your contract includes a revision limit or a kill fee, put a line on the invoice pointing at it. For longer projects, invoice in stages rather than waiting until the end.
Contractors and trades
Split labour and materials into separate lines. Customers query a single large number far more often than they query an itemised one, and it also makes the invoice match the quote you sent. If you took a deposit, show it as a deduction near the bottom so the balance due is unmistakable. Reference the original quote number and the job address.
Cleaning, gardening and recurring services
Put the service period on the invoice, for example "August, weekly clean, 4 visits". For recurring work, keep the invoice number sequence going rather than restarting each month, and keep the same due-date rule every time so the customer learns your rhythm.
Retail, food and one-off sales
Quantity and unit price per line, and be specific about what was supplied. If you delivered, add the delivery charge as its own line rather than folding it into the price of the goods.
