How to write an invoice
An invoice is a request for payment that also serves as a record for both sides. It does not have to be complicated, but leaving out one of the pieces below is the usual reason an invoice gets queried, paid late, or rejected by an accountant. The generator above fills in most of this for you, and every free invoice template on this page already has these fields laid out. What to include on an invoice
- The word "Invoice", clearly, so nobody files it as a quote.
- A unique invoice number. Sequential is easiest to defend later.
- Your business name and address, plus how to reach you.
- Your tax number if you are registered for VAT, GST or sales tax.
- The customer's name and address, matching who is actually paying.
- The invoice date and the date the work was done.
- A due date, not just "payable on receipt".
- A line per item with quantity, rate and amount.
- Subtotal, tax and total, shown separately.
- How to pay you, including bank details or a payment link.
Write the line items so they cannot be argued with
"Consulting, $1,200" invites a question. A line that names the work, the quantity and the rate does not. This is the single biggest thing you can do to get paid without a back and forth.

Set payment terms you will actually enforce
Net 30 is the default in a lot of industries, but for a small business it is often too generous. Net 14, or payment on completion for smaller jobs, is normal and reasonable. Whatever you choose, put the actual calendar date on the invoice. "Net 14" makes the customer do arithmetic, and a date they can see is harder to drift past. If you charge late fees, state the rate on the invoice itself, because a fee you never mentioned is difficult to apply afterwards.
Common mistakes
- Reusing an invoice number. Two invoices with the same number is an accounting problem and looks careless. The tool increments for you.
- Billing the wrong legal entity. Invoice the company that agreed the work, not the individual who emailed you, or it may not be payable.
- No due date. "Payable on receipt" is not a date, and it is the easiest thing in the world to ignore.
- Tax handled vaguely. Show the rate and the amount as their own line. If you are not registered, do not add a tax line at all.
- Missing payment details. Surprisingly common, and it stops the payment dead.
Invoice templates for your line of work
The generator is the same whatever you do, but what belongs on the invoice changes with the trade. Here is what to put on yours, and which invoice template to start from.
Freelance and consulting invoice template
Bill by deliverable or by hour, and say which. Reference the project or purchase order number if the client uses one, because at a larger company an invoice without a PO number can sit unpaid indefinitely. If your contract includes a revision limit or a kill fee, put a line on the invoice pointing at it. For longer projects, invoice in stages rather than waiting until the end.
Contractor invoice template
Split labour and materials into separate lines. Customers query a single large number far more often than they query an itemised one, and it also makes the invoice match the quote you sent. If you took a deposit, show it as a deduction near the bottom so the balance due is unmistakable. Reference the original quote number and the job address. The contractor invoice template has all three of those as their own fields, and the quote generator produces the quote number they refer back to.
Cleaning and landscaping invoice templates
Put the service period on the invoice, for example "August, weekly clean, 4 visits". For recurring work, keep the invoice number sequence going rather than restarting each month, and keep the same due-date rule every time so the customer learns your rhythm.
Retail, food and one off sales
Quantity and unit price per line, and be specific about what was supplied. If you delivered, add the delivery charge as its own line rather than folding it into the price of the goods.

What is the best free invoice template?
The one that already has the fields your work needs, so you are not typing them in every time. A contractor wants labor and materials split out and the job address on the invoice. A photographer wants a usage licence line. A cleaner wants the service period. If none of those fit, use the blank invoice template.
Can I edit the invoice template in Word?
Yes. The Word version is a normal .docx file with a real table, so you can type into it, add or delete rows, put your logo in the header and save it as a PDF from Word itself. It opens in Word, Google Docs, Pages and LibreOffice.
Is there an invoice template in Google Docs or Google Sheets?
You can use ours in both. Upload the Word file to Google Drive and open it with Google Docs, or upload the Excel file and open it with Google Sheets. The Sheets version keeps the formulas, so the line totals, the tax and the grand total still calculate for you.
Does the Excel invoice template do the maths for me?
Yes. Type a quantity and a rate on a line and the amount fills in. The subtotal adds up every line, and the total applies your discount and your tax rate. You only enter the numbers you actually know.
How do I make an invoice template of my own?

What format is the invoice in when I download it?
The tool opens your browser print dialog. Choose Save as PDF as the destination to get a PDF file, or print it directly on paper if you prefer. The templates come as PDF, Word and Excel files.
Can I add my logo?
Yes. Upload a PNG, JPG, or similar image file and it appears at the top of your invoice. The file is only read inside your browser, it is never uploaded anywhere. In the Word and Excel templates, put your logo in the header block at the top.
Can I add tax and a discount?
Yes. Set a tax rate as a percentage, and add a discount as either a flat amount or a percentage. Both are applied automatically and shown in the totals. The Excel template has the same two fields.
Which currencies are supported?
US Dollar, British Pound, Euro, and Canadian Dollar. Pick one from the currency menu and every amount on the invoice updates with the right symbol and formatting. The templates carry no currency symbol, so they work anywhere.
What is an invoice number and where should I start?
It is the unique reference for that one invoice, and it is how you and your customer talk about it later. Start at 0001 and go up by one, or use a per client prefix such as ACME-0001. The only rule that matters is that you never reuse a number.
Is an invoice a receipt?
No. An invoice asks for money that is still owed. A receipt confirms money that has already been paid. The same job usually produces both, in that order.
What does net 30 mean on an invoice?
It means payment is due 30 days after the invoice date. Net 14 and net 7 work the same way. Whichever you use, put the actual calendar due date on the invoice as well, because a date is much harder to drift past than a countdown the customer has to work out.
How do I send an invoice once it is written?
Email the PDF to whoever actually approves payments, not only your day to day contact, and put the invoice number and the amount in the subject line. Keep a copy for your own records. If the customer uses purchase orders, their PO number has to be on the invoice or it may sit unpaid.
